Privacy Policy

• Account data — email, callsign, and a securely hashed password.
• Linked accounts — if you connect Steam or Discord, we store your public identifiers (Steam ID, Discord ID/username), avatar URLs, and persona names.
• Community content — forum posts, comments, clips, screenshots, LFG listings, clans, and cosmetics you create or equip.
• Uploaded videos & consent — if you submit a clip via "Feature on Socials", we store the video file you upload and a record of your consent (your account, a timestamp, and the consent version). See Section 4.
• Steam progression — when you link Steam, we read your public playtime and owned-games data to display your stats on the Site (see Section 3).

We use your information to operate the community: authenticate you, display profiles and leaderboards, run LFG and Discord features, deliver notifications, and moderate the platform. We do not sell your personal data.

Connecting Steam is optional and is the only way we can display your WARDOGS progression. We use the official Steam Web API to read your public profile, owned games, and recent playtime. We never write to, modify, or affect your Steam account, your in-game data, stats, inventory, or progress in any way. Discord data is used only for sign-in, role sync, and LFG voice features. You can disconnect either provider at any time from your Profile.

If you use the "Feature on Socials" option on the Clips page, you upload a gameplay video file to us. We store that file in secure cloud storage solely to review and publish it, and we record your consent (your account, a timestamp, and the consent version) at the moment you submit.

Approved clips are published to our official OCE DOGS channels on YouTube, TikTok and Instagram, along with the title, description and tags provided and a credit to your callsign. Publishing is performed through connections that an OCE DOGS channel administrator authorises once via OAuth; we never ask community members for their own YouTube, Google, TikTok or Instagram/Meta credentials. For Instagram, our server provides Meta with a temporary, unguessable link to your uploaded clip so Instagram can fetch and publish it as a Reel. Once a clip is successfully published we delete the original uploaded file from our storage — the live copy then resides on YouTube/TikTok/Instagram and is governed by those platforms' own privacy and terms policies.

Submitting a clip never guarantees publication. You can track your submissions on the Clips page and can ask us to remove a published clip via the About / Contact page.

To publish Shorts and show how they perform, we use the YouTube Data API v3 under an OAuth connection authorised by a channel administrator for our own OCE DOGS channel. Through this connection we access:

• the connected channel's basic identity (channel name and ID) to confirm which channel is linked;
• the ability to upload approved community clips to that channel; and
• read-only public statistics (views, likes, comments) for the videos we published.

We use this data only to provide and improve these user-facing features — publishing approved clips and displaying their performance in our admin tools and on the homepage. We store the administrator's OAuth tokens encrypted and do not share, transfer or sell this Google user data to any third party.

OCE DOGS' use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements. We do not use Google/YouTube data for advertising, do not sell it or provide it to data brokers, and do not use it to develop, improve or train generalized or non-personalized AI or machine-learning models.

We use TikTok Login Kit and the Content Posting API under an OAuth connection authorised by an OCE DOGS administrator for our own TikTok account. Through this connection we access our account's basic information (open ID, username and display name), the ability to publish approved clips to that account, and read-only public metrics (views, likes, comments, shares) for the posts we created. Before publishing we query TikTok for the account's available privacy options and only post using those. We store TikTok tokens encrypted, use this data solely to operate the publishing and analytics features, and do not sell it or use it for advertising or AI/ML training. Content published to TikTok is also governed by TikTok's Privacy Policy.

We use the Instagram API with Instagram Login (Meta Graph API) under an OAuth connection authorised by an OCE DOGS administrator for our own Instagram professional account. Through this connection we access our account's basic information (Instagram user ID and username), the ability to publish approved clips as Reelsto that account, and read-only public metrics (views, reach, likes, comments, shares, saves and follower count) for the posts we created. To publish, our server gives Instagram a temporary public link to the uploaded clip so Meta can retrieve it. We store Instagram/Meta tokens encrypted, use this data solely to operate the publishing and analytics features, and do not sell it or use it for advertising or AI/ML training. Content published to Instagram is also governed by Instagram's Privacy Policy.

We keep your account and community content for as long as your account is active. Uploaded clip files are deleted from our storage once the clip is published or rejected. OAuth connections (Steam, Discord, Google/YouTube, TikTok, Instagram/Meta) are retained until an administrator or you disconnect them, at which point the stored tokens are removed. You may request deletion of your account and associated personal data, or removal of a published clip, at any time via the About / Contact page, and we will action it unless we are required to retain certain records by law.

We protect your information using industry-standard safeguards: passwords are stored only as salted hashes, API access is restricted to authenticated and authorised staff, OAuth tokens and secrets are stored encrypted, and data is transmitted over encrypted HTTPS connections. No system is perfectly secure, but we take reasonable measures to safeguard the confidentiality of your data.

We store a session token in your browser's local storage to keep you signed in. We do not use third-party advertising trackers.

Optional Founder purchases are processed by Stripe. We never see or store your full card details — Stripe handles payment data under its own privacy terms.

You can edit your profile, unlink Steam/Discord, and request deletion of your account and associated content by contacting us via the About / Contact page.

We may update this policy from time to time. Material changes will be announced in the community. Continued use of the Site means you accept the updated policy.
